Cancellation and Refund Policy of HireMiles Minibuses

Non-Refundable Deposit

All bookings require a non-refundable deposit of 30% of the total hire charge to secure your reservation.
If HireMiles is unable to fulfil the journey due to unforeseen circumstances, a full refund will be issued.

Cancellation Charges

If you wish to cancel your booking, the following charges will apply based on the notice period before the journey date:

  • More than 25 days before the journey: 25% of the total booking cost.

  • 14–25 days before the journey: 30% of the total booking cost.

  • 7–14 days before the journey: 50% of the total booking cost.

  • 48 hours – 7 days before the journey: 75% of the total booking cost.

  • Less than 48 hours before the journey: 100% of the total booking cost.

Non-Refundable Once Boarded

Once passengers have boarded the vehicle, HireMiles considers the service contract fulfilled.
No refunds or partial refunds will be issued after the journey has commenced.

Additional Services Cancellation

If your booking includes additional services (such as meals, accommodation, ferry charges, or other arrangements), and the respective service providers apply cancellation fees, these costs will be charged to the Hirer in addition to the standard HireMiles cancellation charges listed above.

Refund Process

All eligible refunds will be processed within 14 days of receiving the cancellation request, minus any applicable deductions based on the above policy.

No-Show Policy

If a passenger fails to meet the driver at the scheduled pick-up time and location without prior notification, the full booking cost will be charged, and no refund will be issued.

A “No Show” includes:

  • Providing an incorrect date or time at the time of booking.

  • Failing to contact HireMiles or the assigned driver within one hour of the scheduled pick-up time.

If you have made a reservation for a specific time and later decide to alter your transfer times, additional charges may apply.
This is because such changes can affect our overall schedule and other customer bookings for the day.
